Privacy Policy

• Account & team: your name, email address and phone number — used to sign you in and to manage the users you invite to your workspace.
• Business & financial records: the sales, purchases, invoices, returns, payments, expenses, salaries and journal entries you record, along with the ledgers, account balances and reports generated from them.
• Contacts (customers & suppliers): names, phone numbers, email addresses, postal addresses, opening balances and credit limits you enter, plus any contact photo you upload.
• Inventory: products, raw materials, categories, unit prices, stock levels and assembly / lot records.
• Banking: account names, bank names, account numbers and cheque details.
• Company branding: your business name, address, phone, invoice footer and the company logo you upload for your printed invoices.

Some display preferences — such as your invoice template settings and logo watermark options — are saved in your web browser's local storage. These stay on your device and are not sent to our servers; only the logo image itself is uploaded so it can appear on your invoices. Clearing your browser data removes these preferences.

• To provide the core service — creating and printing invoices & receipts, recording transactions and keeping your books balanced.
• To calculate account balances, customer and supplier dues, stock levels and financial reports.
• To keep your data in sync with the Balancia mobile app.
• To authenticate you and enforce the roles and permissions you assign to team members.
• To maintain, secure and improve the app.

Your data is stored using Supabase, a managed hosting provider that supplies our database and file storage. Because Balancia on the web and the Balancia mobile app share one secure backend, the information you enter on either is available on both so your books stay in sync.

• We do not sell your data or share it for advertising.
• It is shared only with the infrastructure providers needed to operate Balancia (such as our hosting and database provider), and where required by law or to protect the rights and safety of users.
• Within your own workspace, records are visible to the team members you grant access to through user permissions.

Access requires authentication, connections are encrypted in transit (HTTPS), and access to records is restricted by your account and the per-user permissions you configure. No system can be guaranteed completely secure, so please keep your password confidential and only invite people you trust.

We keep your records for as long as your account is active and as needed to provide the service and support your bookkeeping. You can edit or delete records at any time; residual copies may remain in backups for a limited period before being overwritten.

You can access, update, correct, export or delete the business data you store in Balancia, and manage which team members can see it. To close your account or request deletion of your data, contact us using the details below.

Balancia is a tool for businesses and is not directed to children. We do not knowingly collect information from children. If you believe a child has provided us information, please contact us so we can remove it.

We may update this policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Continued use of Balancia after changes take effect means you accept the updated policy.
